How to reduce no-shows
A no-show is a slot you can no longer sell. It is rarely bad faith: the customer forgot, or letting you know was more trouble than not turning up. These six steps tackle both causes.
Why customers don't turn up
Almost always for one of three reasons: they booked days or weeks ago and forgot; something came up and telling you meant calling during opening hours; or they weren't sure of the time and chose not to come.
The aim is not to catch people out, but to make telling you easier than not turning up. A slot freed a day ahead can still be booked by someone else.
1. Confirm every booking in writing
Right after booking, the customer should get a confirmation with the day, the time, the service and the address. It is what they look for when in doubt, and it prevents mix-ups over the time or the place.
In Agendator, every booking made on your page gets a confirmation by email, with a link to manage it.
2. Send a reminder before the appointment
A reminder before the appointment does more than anything else to stop people forgetting. It works best when it goes out by itself, without anyone having to remember to message the whole agenda.
Agendator sends the reminder by email automatically, to every customer, at no cost to you.
3. Let customers move or cancel without calling
If cancelling means a phone call, many customers simply don't turn up. A link in the email to move or cancel turns a no-show into a free slot that another customer can book.
Decide how late that is possible, for example until the day before. Within that window customers sort it out themselves; after it, they talk to you. In Agendator you choose whether to allow it and how much notice it takes.
4. Say the rules up front
Tell your customers clearly how late they can cancel and what happens if they don't turn up without warning. A simple rule, stated beforehand, avoids awkward conversations later.
If you take a deposit, say so too. Agendator does not take online payments yet: customers pay at your business, as they do today.
5. Bring back the customers who stopped coming
Not every absence is a no-show: some customers simply stop booking. Knowing who they are is the first step to getting them back.
Agendator's panel shows the customers who haven't been back for longer than usual at your business and prepares a message that opens in your own WhatsApp or email, only for those who agreed to receive messages.
6. Show only the times that are really free
Block breaks, days off and preparation time in the agenda, and book walk-ins and phone calls there too. That way nobody books over them and you don't have to cancel customers at the last minute, which is another kind of no-show.
